The Paralegal/Legal Assistant (hybrid role) will provide crucial legal and administrative support to the Head of Legal. The role involves assisting with a variety of legal functions including contract management, legal research, document preparation, compliance monitoring, and supporting litigation processes. The successful candidate will play a key role in ensuring the company operates in compliance with Australian laws and regulations.

Your responsibilities will include:

  • Document Preparation and Management: Supporting the document and contract management process including the drafting, review, and edit of legal documents such as contracts, NDA’s, agreements, memorandums, policies and correspondence. Ensure accurate and timely filing and organisation of legal documents in accordance with company procedures.
  • Contract and Agreement Support: Assist with the drafting, review, and management of contracts with suppliers, customers, and other third parties. Ensure contracts meet legal requirements and align with company policies.
  • Legal Research: Conduct research on regulatory and legislative requirements as well as case law as needed.  
  • Compliance Monitoring: Assist the legal team in tracking and ensuring compliance with regulatory and legislative requirements applicable to the manufacturing industry in Australia and reporting to the wider business.
  • Intellectual Property Management: Assist the legal team with management of intellectual property portfolios, including tracking trademark, patent and design filings, renewals, and deadlines in conjunction with external IP service providers.
  • Litigation Support: Assist with preparation of litigation documents, including pleadings, court submissions, and discovery. Coordinate and liaise with external legal counsel and ensure all deadlines are met.
  • Corporate Governance and Regulatory Compliance: Support the legal team with corporate governance documentation, including briefs, board resolutions, shareholder agreements, and compliance reports.
  • Internal Communication: Serve as a point of contact between the legal department and other internal teams such as People and Culture, Finance, New Product Group and Marketing, ensuring smooth communication and the timely resolution of legal issues.
  • Administrative Support: Provide general administrative support to the legal team, including managing calendars, scheduling meetings, preparing reports, maintaining centralised system for legal documents and records and handling incoming legal correspondence.

You will require the following skills and experience to be successful:

  • Education:
    • A qualification in Paralegal Studies, Legal Administration, or a related field.
    • Certification in Legal Studies (e.g., a Diploma of Legal Studies) is highly desirable.
  • Experience:
    • At least 2-4 years of experience working as a Paralegal, Legal Assistant, Legal Secretary, or in a similar legal administrative role, preferably within a corporate or manufacturing environment.
    • Strong understanding of Australian legal principles, particularly in corporate law, intellectual property, privacy, contract law, and compliance.
  • Skills and Abilities:
    • Proficient in legal research and use of online legal resources.
    • Excellent written and verbal communication skills with a strong attention to detail.
    • Familiarity with Australian manufacturing industry regulations and compliance standards is a plus.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Experience with legal software and document management systems is beneficial.
    • Ability to manage multiple tasks and work to deadlines in a fast-paced environment.
    • Strong organisational skills and ability to prioritise work effectively.
    • Discretion and ability to handle confidential and sensitive information.
